Executive Director
Confluence Gallery and Art Center dba as The Confluence: Art in Twisp (“the Confluence Gallery”; the “Gallery”) announces its search for an Executive Director. The Confluence Gallery is a non-profit 501(c)(3) visual and literary arts gallery located in Twisp, Washington. The Gallery opened in 1988 and features a main gallery, a community gallery, a gallery shop, as well as displays of works by local writers who regularly present their work in the Gallery.
The position requires experience in the visual arts (painting, photography, collage, mixed media, sculpting, curating, teaching, education in visual arts) as well as experience with literary arts (writing, publishing, teaching, being a lover of reading literature) as well as experience with non-profit 501(c)(3) organizations. The Executive Director will be responsible for the overall management and operation of the Gallery. In addition to strong leadership and communication skills, the ideal candidate will be a good collaborator able to work with diverse groups of artists and community members. The Executive Director reports to the Board of Directors. The Gallery will have a Business Manager who will oversee and perform all accounting functions under the financial oversight of the Executive Director.
Areas of responsibility include Artistic Direction, Gallery Programs and Operations, Board Liaison, Financial Oversight, Development and Fundraising, Building Management, Planning, Marketing and Promotion, and Internal Management. This is a part-time position requiring 28-30 hours of work per week. Compensation will be commensurate with experience.

Job Description
Overview of Position
Under the direction of the Board of Directors, the Executive Director (ED) is responsible for the overall management and operation of Confluence Gallery and Art Center (The Confluence). The ED represents the mission, goals and values of the organization in a clear and inspiring manner and serves as the liaison between and among the staff, volunteers, the public and the Board of Directors. The ED shares with the Board the responsibility to provide leadership and vision for the future of The Confluence in the achievement of its shared mission, goals and values. The ED reports to the Board of Directors.
FLSA Status: .7 to .75 FTE (28-30 hrs/wk), Hourly non-exempt, $30-35 per hour DOE, benefits package that includes paid time off and sick leave.
Areas of Responsibility / Essential Functions
ARTISTIC DIRECTION
Facilitates and executes gallery exhibits program in partnership with volunteer show committee, including providing curation oversight.
Selects Community Gallery exhibits and co-curates as necessary.
Takes the lead in planning and executing fundraising events including Trashion Show, MV Home Tour, and studio tours.
Takes the lead in identifying and engaging new artists and new gallery shop vendors to assure new, innovative, creative, engaging exhibits and gallery shop inventory.
Assists CC and Board designee in the planning and execution of annual show committee gathering.
Takes the lead in the mentoring and development of artists.
Takes the lead in planning and staffing gallery openings.
GALLERY PROGRAMS AND OPERATIONS
Provides oversight of the day-to-day gallery and gallery shop operations including staffing, merchandising, sales receipts and deposits, inventory, shipping, etc.
Supports and interacts with artists, visitors, and volunteers to promote and support the sales and public relations efforts of The Confluence.
Plans, develops, and provides oversight of all Confluence events including Trashion Show, the Methow Valley Home Tour, literary events, and other special events.
Works with Confluence Poets liaison to support poetry readings and other poetry events in partnership with CP.
Develops and executes education programs of workshops, lectures, classes that includes recruiting instructors, promotion, scheduling, financial oversight and reporting, class evaluations and correspondence.
Identifies and works with local partners to develop and support programs that help to advance The Confluence’s mission.
BOARD LIAISON
Prepares Board meeting agendas in cooperation with the Executive Committee.
Schedules monthly Board meetings.
Assists committee chairs with meeting schedules and agendas as needed.
Provides onboarding training for new Board members.
Tracks current Board member skills and attributes.
Manages Board documents in Dropbox.
Attends all Board and committee meetings.
Reviews meeting minutes and uploads to Dropbox.
Supports Board in recruiting new members.
Creates Board documents for meetings in cooperation with Business Manager.
FINANCIAL OVERSIGHT
Makes regular deposits of cash sales, grant awards, and donations.
Writes and distributes checks to pay bills that cannot be paid remotely or online.
Provides Business Manager with transaction details as needed to update financial records, including membership renewals, rent payments, etc.
Works with Business Manager and Finance Committee to develop annual budget.
Reviews financial reports, including monthly workbook and dashboard, developed by Business Manager.
Maintains all organizational records, both digitally and in hard copy, in accordance with the Board Policy for Document Retention developed in June 2019.
Approves and manages installment purchases.
Manages use of organizational credit card and petty cash fund.
DEVELOPMENT AND FUNDRAISING
With support from the Development Committee, develops and executes fundraising plan, including identifying resource requirements, researching funding sources, establishing fundraising plan and strategies, and administering fundraising records and documentation.
Researches grant funding opportunities, reviews grant applications prepared by Business Manager, administers grant funds, and reviews grant reports prepared by Business Manager.
Develops and executes the business sponsorship and membership programs.
Oversees major donor program.
Maintains communication with donors and business sponsors.
Maintains records of qualified expenses and works with Business Manager to prepare hotel/motel (LTAC) grant requests and verification of expenditures.
With support from the Program Committee, oversees major fundraising events like Trashion Show and MV Tour of Homes.
BUILDING MANAGEMENT
Ensures all tenant leases are up to date and in compliance with local and state laws.
Ensures all tenants are current with rental insurance and have annual correspondence to ensure compliance and appropriate documentation.
Reviews and adjusts rental prices per unit annually to ensure proper rates reflect annual budgeted income.
Ensures all units are properly maintained and necessary work is completed in a timely manner.
Conducts check-in and checkout procedures with tenants upon move in and move out.
Ensures all tenants pay rent in a timely manner.
Communicates with tenants to answer questions, concerns, and emergency issues.
Produces and maintains a tenant contact log.
Advertises and shows available units to prospective tenants.
With support from the Building Committee, schedules routine maintenance as well as emergency repairs with appropriate contractors.
PLANNING
Leads by inspiring a shared vision for the future and igniting a passion and commitment within the organization to successfully grow and develop consistent with its mission and values.
Supports the Board in generating a three- to five-year strategic plan including goals and work plans.
Evaluates the services provided by The Confluence in relation to strategic goals and work plans while managing the organization’s financial and human resources to meet plan goals.
MARKETING AND PROMOTION
Represents The Confluence as a spokesperson and builds community support for the organization and its programs.
Serves as liaison with other groups in the local and regional art community.
Develops and executes an advertising plan and budget for promotion and advertising, and a community outreach/public relations strategy and plan.
INTERNAL MANAGEMENT
Supervises and directs staff, develops position descriptions, evaluates the performance of staff, sets compensation in alignment with annual budget, and provides overall control and direction for personnel, including administration of personnel actions in accordance with federal and state requirements and The Confluence Employee Policies.
Ensures that The Confluence staff has access to the latest knowledge and the most advanced tools to assure effective, efficient, and compliant operations.
Provides oversight and support to all programs, projects, building management and scheduling, and daily operations.
Oversees the smooth and effective use, training, and appropriate recognition of volunteers.
Provides oversight for the Cheryl Wrangle Memorial Scholarship program, including managing related donations to the fund, receiving applications from prospective recipients, and representing The Confluence at awards ceremonies.
Qualifications
REQUIRED:
Bachelors Degree in Art Administration or Management, Business, Communications, Public Relations, Marketing, or related field.
Three years of increasingly responsible experience in art or business management or non-profit organizational experience.
OR
Any combination of education and experience providing the knowledge of the field of assignment sufficient to perform thoroughly and accurately the full scope of responsibility as illustrated by the above description of essential job duties.
PREFERRED:
Art Organization or Gallery Management Experience.
Sales, Marketing, or Retail Merchandising Experience.
Knowledge, Skills and Abilities
Strong commitment to and passion for the arts and the mission and values of The Confluence.
Excellent organizational management with the ability to coach, manage, develop, and inspire staff.
Ability to communicate effectively verbally and in writing with Board, staff, volunteers, potential donors, the public, the media and other business and non-profit personnel.
Strong marketing, public relations and fundraising experience with the ability to engage a wide range of stakeholders and cultures.
Knowledge of the theories, practices, principles and techniques of financial management, business management, personnel management and non-profit management.
Knowledge of the federal, state, and local laws, standards, codes, regulations, guidelines, ordinances, policies and procedures related to services provided.
Ability to prepare and direct the preparation of comprehensive reports, budgets, departmental materials and correspondence.
Proficient use of Internet and relevant computer programs (Word, Excel, QuickBooks, Squarespace, Google Suite, Zeffy, Square POS, Little Green Light, Canva, etc).
Ability to work under pressures of deadlines and on concurrent projects.
Skill set includes passion for the arts, reliability, creativity, innovative thinking, and good judgment.
The ability and willingness to work transparently and cooperatively with the Board of Directors.
